The African Academy for Professionals (AAP) is glad to present a new training on learning Report Writing Skills for Non-Governmental Organizations (NGOs), businesses & public institutions) and individuals interested in these skills.
Course: Report Writing Skills
By the end of this course, you will be able to:
- Report writing in regards to project management.
This section will comprise of a basic overview on the relation that report writing has on project management. We will first look into the 5 process groups and 10 knowledge areas of project management that is approved by the Project management Institute (PMI). This introduction will raise the awareness of the trainees on the effects that report writing has on all of the aspects of project management.
The main essential points that this module will cover is communication management which plays a pivotal role in any level of management within all organizations and institutions. It also guarantees effective management when the operations and procedures of the staff are traceable, comprehendible and transparent.
- Understand the importance of report writing and why it is important.
This module will elaborate on the importance of report writing which will also enable the learner to understand the advantages of report writing and the effectiveness that it has on the overall performance of the employees. The lack there of can also have a significant impact on the productivity of the employees due to the fact that the quality and consistency of the reports is the one of the only methods that can help the HRM department to differentiate a good employee from an unproductive one.
Course Contents
- Know the basic principles of report writing.
Report writing has a set of principles that every person must abide by. This module will specifically teach the learner with the fundamental aspects of preparing an organized report. The main points that will be covered in this module include but are not limited to:
- Cover page
This section of the report will explain on the types of cover pages that are appropriate to use depending on the context of the report in regards to the organization or institution.
- Table of Contents
The table will help the reader to skip to the sections that he or she requires without having to search for it. This will save time and make the report more organized.
- List of Acronyms
The various types of acronyms are explained in this section and this gives the reader an understanding of various abbreviations.
- Executive summary
The first section of the report will contain the main reasons as to why this report was prepared and the issues that the writer wishes to address. This will give the reader a brief preview about the information that the report encompasses. The reader will then gain a general overview on the points that will be addressed along with the evidence that supports the key points of the report.
- Introduction
This part of the report will describe the context of the report and the existing issues or problems that requires further analysis or immediate action. It will also elaborate on the solutions to the specified issues and various methods that can be used in solving issues that will be explained in more detail throughout the report.
- Discussion
This section which is considered to be the main body of the report will be used by the writer to express a logical analysis on the existing issue from various aspects and maintain an unbiased approach in giving a logical interpretation that has a tangible relation to the objectives of the report. The analysis will be supported with reliable facts from reputable sources.
- Conclusion
The writer will use this part of the report to conclude the analysis by stating on the findings of the research or report as well as suggesting recommendations on areas that requires further analysis. The conclusion will be related to the stated facts from the previous sections of the report and the structure of this part of the report will be in the form of points that are brief and informative.
- Recommendations
This section is mainly going to be used to elaborate on the creativity of the writer by finding innovative methods that can solve the existing issue. The recommendations must always be realistic, specific and feasible in order to be considered by the management.
- References
The writer will state all of the references in this section by using standard referencing policies and procedures that are globally accepted.
- Appendices
The final section of the report will be used to add extra supporting materials such as tables, images, scanned documents or graphs.
- Different types of report writing. (Project plan, Inception report, Project Charter, Log frame, Work plan/WBS, final narrative report).
The learner will be able to differentiate on the types of reports by the end of this module because he or she will gain the knowledge of scanning through the reports in order to identify the key factors that classifies a report to be of a certain category.
The learner will gain the skills of preparing the reports that are mentioned in this section while adhering to the basic fundamentals that each report comprises of.
- Identify the key elements that differentiates a good report from a bad one.
The learner will be given the task of identifying a satisfactory report from an unacceptable one by analyzing each report and stating the missing sections of structures that is required from each type of report.
- Prepare a technical proposal and apply to donors.
At the end of this module, the learner will be capable of preparing a standard proposal that he or she can use in their professional career which is mainly aimed at gaining the skills to apply for projects from donors. The learner will be given the assignment of applying for a project that is being funded by an imaginary donor. The assignment will be used in giving the learner a hands-on experience on the dos and don’ts of preparing technical proposals.
