Warehouse Assistant

Location: This is a Buur Hakaba based position.

 

Job Holder Reports To: Logistics Manager

                                                                    

Overall purpose: Working as an important member of a diverse team committed to serving the world’s most vulnerable with practical and compassionate care, the Warehouse Assistant supports the logistics activities of the programme.

On a day-to-day basis, the Warehouse Assistant performs a variety of tasks required to ensure the logistical needs of the programme are met and that all warehouse and stock management activities are carried out efficiently, accurately, and on time. All activities are conducted in line with established policies and procedures, as well as applicable donor, HQ, and field guidelines.

 

Project Overview:

The organization implements Health and WASH programmes across multiple regions, including Hakaba, with a focus on linking facility-based health services with community networks and integrated, multisectoral outreach, particularly during periods of high malnutrition rates. Community health projects including Care Group Model and integrated Community Case Management (ICCM)Construction of a health facility, including WASH infrastructure and Emergency responses programmes.

 

Major Duties and Responsibilities

Logistics

Carry out the day-to-day logistical functions of the programme including, but not limited to:

Warehousing & stock management 

 

-          Ensure proper shelving, labeling, and organized storage of supplies in accordance with established storage policies and conventions.

-          Maintain clean, orderly, well-ventilated warehouse conditions, including regular temperature monitoring and adherence to maintenance schedules.

-          Apply correct stock management practices, including FEFO principles where applicable.

-          Coordinate with logistics or procurement teams regarding incoming shipments by air or road.

-          Receive, inspect, and verify deliveries against waybills, packing lists, and supporting documents.

-          Conduct accurate physical counts upon receipt and immediately report any discrepancies, damages, or losses.

-          Safely offload, handle, and store items according to warehouse procedures and designated storage locations.

-          Process and record all goods received, issued, transferred, or adjusted in the online warehouse management system (MedEx), ensuring accuracy and timeliness.

-          Perform routine system checks to verify the accuracy of stock movements and balances.

-          Ensure stock data is consistently accurate and visible to authorized users within the system.

-          Prepare and dispatch supplies promptly upon receipt of approved Supply Requisitions in the MedEx system.

-          Follow up with health facilities to confirm receipt of supplies and ensure transactions are properly completed and validated.

-          Monitor stock levels and inform the supervisor of low or critical items in a timely manner.

-          Assist with monthly physical inventory counts and ensure any variances are investigated and reconciled in the system.

-          Liaise with transport and field teams to coordinate deliveries and receipts.

-          Provide regular updates to the supervisor on stock status and operational issues.

-          Any other task as deemed necessary by the supervisor

 

Administration

-          Prepare and maintain accurate PDF records of Buur Hakaba sub-office utilities and operational expenses (such as water, electricity, and rent), ensuring documentation is complete, properly organized, and filed in accordance with requirements.

-          Maintenance and verification of office equipment including laptops, communication phones, printers and furniture.

 

Communication

-  Maintain a transparent, honest, and supportive communication structure with colleagues to ensure they are kept informed of applicable logistical activities and requirements.

-  Develop and maintain positive relationships with suppliers, local authorities, other NGOs, and any other stakeholders, representing the and ensuring good co-operation and partnerships.

 

  Quality Management

-  Promote and use thee-library and other operating procedures, ensuring that all standardised formats are used, and guidelines are followed.

-  Be aware of the potential for loss or fraud in logistical activities and procedures. Pro-actively work to prevent such occurrences by working with relevant line managers to improve transparency and to ensure the best use of assets and resources.

 

Delegated Responsibilities

-  Compliance of logistical activities with donor, national and international requirements

-  Implementation of robust systems to ensure the physical security of the sub office and to prevent the theft of assets and equipment and the fraudulent use of resources.

 

Skills and qualifications

Qualifications and experience.

-  Diploma in Supply Chain Management, Logistics, or equivalent qualification

-  At least two years of progressive experience in warehouse operations

-  Prior experience handling drugs, or medical commodities is highly desirable

-  Demonstrated understanding of FEFO, batch control, and stock accuracy
