MSF Sool Project is looking for:
The selected candidate will be reporting to the Supply Chain Supervisor Hierarchically and Logistics & Supply Chain Manager Functionally
Main Purpose:
Executing the stock management activities (receipt, storage, and issuance to projects or other departments of medical supplies, food items, spare parts, tools, equipment and/ or other logistics materials), according to the line manager’s instructions and MSF standards and protocols, in order to ensure the overall functioning of MSF activities
Main Responsibilities:
- Supervising materials and goods orders and dispatch in order to ensure its rational use.
- Receiving orders and deliveries, identifying and reporting potential discrepancies against cargo manifest or others. Stores materials in accordance with the system in force in order to ensure continuous availability.
- Updating and/or creating stock cards for all stock items immediately after reception of goods. Checking the received cold boxes and controlling the cold chain-monitoring card
- Storing materials in accordance with the system in force in order to ensure continuous availability ensuring that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
- Monitoring the store temperature and ensuring Cold Chain items are stored in an adequate temperature. Keeping a special control of “sensitive” goods: numbers of lots, expiry dates, packaging and special storage conditions
- Preparing orders on time before sending goods, and packs (according to transport means) weighs and labels freight with corresponding shipping number, destination, number of shipping units, way bill number, weight and mode of transport in accordance with the line manager’s instructions.
- In conjunction with the line manager, performing physical stock counts in accordance with the frequency previously defined. Following up stock levels with regards to alarms thresholds, stock out and expiry dates.
- Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse.
- Assisting the line manager with preparation of the stock reports.
MSF Section/Context Specific Accountabilities
Responsible for efficient and effective organization of the medical and logistical stock according to the defined MSF system (family, alphabetical order, FEFO and FIFO)
Responsible for physical inspection of stores to be done on a regular basis Ensure that the stock is stored correctly and rotated effectively.
Responsible for conducting reception (quality and quantity verification) of the deliveries to the project. Responsible for updating stock cards for incoming shipments after reception and after delivery outs.
Responsible for cleaning and organization of the stock according to the protocols and provided weekly schedule.
Responsible for reporting any stock level issue (immediate rupture, shortage, expiries) to the Supply Chain Supervisor and Logistics and Supply Manager during the month.
Responsible for overseeing loading/ unloading of the cargo incoming/ out-going to the project. Responsible for cleaning of the stock area after reception and dispatch of the shipments.
Ensur
Responsible for the safety of the stocks (medical and logistical) by keeping the access limited to authorized staff and keeping the keys safe.
Responsible for keeping the shelves, aisle and pallets well organized, clean and well identified for accessibility.
Responsible for managing the storekeeper assistant, his/ her duties, plans, capacity building and performance.
Responsible for coordinating on time communication and delivery of the monthly orders to central pharmacy.
Responsible for monitoring Cold-Chain temperature during working days and during weekends at least once a day.
Responsible for updating MSR, SMS, LSR, UF and development of monthly reports.
Be always accessible to respond to requests, updates and do extra hours when needed.
Review his/ her Job Description and his/ her team JD’s on monthly basis and remind on the requirements of performance expectations, quality and standard.
Act as backup (gap filler) for Supply Chain Supervisor during his/ her absence.
Perform any other duties assigned by supervisors within the area of responsibility and Supply Chain/ Logistics field.
