JOB DESCRIPTION: FACILITY MANAGER (International)

Position Overview: 

We are seeking a dynamic and versatile Facility Manager to oversee the efficient operation of our facilities. This role combines 

administrative, HR, accounting, health and safety, and general management responsibilities to ensure smooth day-to-day operations. 

The ideal candidate will demonstrate leadership, organizational skills, and a proactive approach to problem-solving. 

Key Responsibilities: 

Administrative Management: 

 Oversee daily administrative operations, including office services, supplies, and vendor management. 

 Develop and maintain facility policies and procedures. 

 Manage maintenance schedules and ensure timely repairs for all equipment and infrastructure. 

 Coordinate logistics for meetings, events, and all office activities. 

Human Resources Management: 

 Support recruitment processes, including onboarding and training new employees. 

 Manage employee records, attendance, and performance reviews. 

 Act as the primary point of contact for employee relations, addressing grievances, and fostering a positive work 

environment. 

 Ensure compliance with labour laws and organizational policies. 

Accounting and Financial Management: 

 Develop and manage the facility budget, including forecasting and cost control. 

 Approve and track facility-related expenses and ensure accurate financial reporting. 

 Work with the finance department to handle vendor payments, invoicing, and procurement processes. 

 Conduct regular audits to optimize operational efficiency and cost management. 

Health, Safety, and Compliance: 

 Implement and enforce health and safety protocols in line with regulatory requirements. 

 Conduct regular safety inspections and risk assessments. 

 Ensure all employees are trained in workplace safety procedures. 

Client Relations and Service Management:

 Serve as the primary point of contact for client inquiries regarding room services, amenities, and other facility-related needs.

 Address client concerns, complaints, and special requests promptly and professionally.

 Collaborate with relevant teams to ensure high-quality service delivery.

 Monitor client satisfaction and gather feedback to improve facility services.

 Ensure all facility spaces meet client expectations for cleanliness, functionality, and comfort

General Management: 

 Lead and manage facility staff, providing direction, mentorship, and performance feedback. 

 Collaborate with different departments to support operational needs and strategic goals. 

 Monitor and evaluate the efficiency of the facility’s operations, identifying areas for improvement. 

 Ensure all systems, such as HVAC, plumbing, and security, are functional and well-maintained. 

Skills and qualifications

Education:

Minimum of Bachelor’s degree in Facility Management, Business Administration, Human Resources, or a related field. 

Experience:

 At least 5 years in a facility management or similar multi-disciplinary role.

 Proficiency in spoken and written English is a must.

 Strong knowledge of HR practices, accounting principles, and health and safety regulations. 

 Excellent leadership and team management skills. 

 Proficiency in Microsoft Office Suite and facility management software. 

 Strong organizational and multitasking abilities. 

 Exceptional communication and interpersonal skills.
