Somaliland is currently in a phase of epidemiological transition where population growth, urbanisation, ageing, and improved standards of living will soon contribute to a growing burden of disease from NCDs. In a recent study, 18.2% of patients visiting hospitals in Hargeisa and Burao suffered from NCDs, with HTN and DM accounting for most cases at 13.7% and 7.5% of total visits, respectively (THET 2022). The World Bank (2020) reported that over 30% of the total deaths in Somaliland are attributed to NCDs, and all of these deaths occur prematurely.

With this background in mind, Pharo Foundation is implementing a pilot programme on the prevention and control of non-communicable diseases (NCDs) especially diabetes and hypertension in Somaliland. The Foundation supported the construction of a centre for NCDs in the country to provide high-quality and effective clinical and preventive services to the community. The centre is located within Hargeisa Group Hospital (HGH).

Position Summary

The Medical Receptionist works with the support and guidance of experienced team colleagues under the supervision and management of the NCD Centre Coordinator operating in a busy, supportive team environment, the Medical Receptionist is responsible for frontline communication and service delivery, accuracy of messages and data input and routine administrative responsibilities, all of which underpin the consistently high standard of service delivery to our patients, doctors and other stakeholders and colleagues at the NCD Centre. She/he will ensure relevant practice

policies and procedures are always understood and followed and works in a collaborative, courteous and supportive manner with patients and the practice team upholding and promoting the practice brand of the organisation’s values, vision, and mission.

Report to:                         NCD coordinator

Job Location:                    Centre for NCD at HGH, Hargeisa, Somaliland

Key Duties and Responsibilities

  • Welcome, greet, and attend to patients in person and over the phone.
  • Keep a clean and calm reception area.
  • Register by gathering patient information, and complete accurate documentation of patient visits.
  • Professionally assist doctors, nurses, staff, visitors, and patients.
  • Answer phone calls and respond to inquiries from patients, families, and other healthcare providers courteously and professionally.
  • Collect user fees, process payments, and verify financial records.
  • Notify doctors of patient arrivals.
  • Contact insurance companies.
  • Maintain business inventory such as checking supplies, scheduling equipment, and maintenance repairs.
  • Maintain confidentiality of all doctors, nurses, staff, and patient information.
  • Protect patient’s rights by maintaining the confidentiality of medical, personal, and financial information.
  • Schedule appointments between doctors and patients and communicate medical results to patients under clinical supervision.
  • Liaise with other medical providers with discretion and professionalism.
  • Assist with patient referral as per agreed protocols.
  • Adhere to policy and procedures during work hours.

Skills and qualifications

Qualification Requirements

  • Bachelor’s degree (Advantageous).
  • Administration certification
  • 3 years’ experience at a health facility as a Medical Receptionist.
  • Working knowledge of medical terminology.
  • Familiarity with electronic medical records (EMRs/EHRs) and other healthcare technology.
  • Experience in using Microsoft Word and Excel.
  • Fluent in Somalia and good verbal and written command of English.
