Job Title:  Executive Secretary  

1.      Office: Top Management  

2.      Reporting to: The President           

3.      Summary of Job Description:

The Executive Secretary of the University is responsible for distributing all rules and information given from the Top Management (Presidents and all Vice Presidents) Office to all concerned employees, receives different incoming letters from different organizations and presents to the President for decision, keeps the University’s information and documents in a safe place.

4.      Detailed Job Description:

4.1.   Writes letters, reports or other matters when ordered by the Top Management.

4.2.   Deals with inquiries and provides answers, whenever possible.

4.3.   Passes personal and business mail to the University Staff, whenever needed.

4.4.   Deals with routine correspondence on own initiative.

4.5.   Takes care of special files.

4.6.      Distributes all rules and information given from the Top Management to all middle management members and the concerned employees.

4.7.      Receives different incoming letters from different organizations and presents to the Top Management for decision.

4.8.      Receives different orders and performs promptly.

4.9.      Brings different matters to the President for urgent decisions.

4.10.  Receives & handles different incoming and outgoing telephone calls and passes messages properly; acts as an information centre when needed.

4.11.  Makes sure the proper utilization of resources in the office.

4.12.  Arranges different appointments of visitors with the Top Management.

4.13.  Prepares computer layout for all brochures, visiting cards, ID cards, letter headings, advertisements, and other projects prepared in any office of the University.

4.14.  Keeps the University’s information and documents in a safe place at all times.

4.15.  Comes up with initiatives and innovations aimed at improving the strategic and operational undertakings of the faculty. 

4.16.  Carries out other related duties as required.

Skills and qualifications

Qualifications: Minimum Bachelor’s Degree in Human Resource Management, Business Administration, Management any other related field.

  Experience:  Minimum of three years’ experience in secretarial duties. Prior experience in Higher Education environment will be additional.

Required Skills:

·         Microsoft Office Skill (Word, Excel, Access, PowerPoint, Adobe Photoshop)

·         Higher level of interpersonal communication skills

·         Excellent command of English 

Mode of Employment:          Fulltime with 3 months of probation period  

Place of Work:                      Hargeisa, Somaliland
