Background Information
RAAGSAN is a female-led local social enterprise providing strategic and analytical consulting services across the
Horn of Africa. We strive to bridge the gap between communities and policymakers by leveraging our network of
young and middle-aged professionals supported by experienced senior consultants with post-conflict environment
expertise. We offer an in-depth knowledge of the Somali community level. Our expertise spans multiple sectors:
livelihood, economic assessments, social protection, cash transfers, disaster management, gender, water sector
development, transitional justice, supply chain, and humanitarian responses.
RAAGSAN works in fragile and conflict-affected statesto develop and strengthen policies and systems that enhance
public service delivery. Our operations have served a wide range of international and national clients, including the
Government, GEEL Program, SSF through GIST, UNDP through the government, IGAD, IOM, SOS, WFP, GIZ, NRC,
RVI, UNICEF through the government, Save the Children, Local NGOs, and other international Companies. RAAGSAN
has primary offices in Nairobi, Mogadishu and Hargeisa and a project office in Kismayo with a network of local field
researchers, researcher associates and analysts across Eastern and Horn of Africa.
RAAGSAN has conducted research in more than 60 districts and has a pool of 200+ highly qualified local field
researchersthat could be rapidly deployed as a team of professionals who are trained to conduct research and data
collection in the field, typically at the community or local level. The RAAGSAN team was part ofseveral evaluations
conducted for donors across the country.
Objective of the position
Raagsan is seeking a dynamic Admin Intern to join our operations and program support team. This pivotal role
demands a proactive individual who will provide quality and efficient administrative and finance support to the
Hargeisa office operations for smooth organizational functioning. The position will also manage the office space.

ADMIN Intern – Hargeisa Office
TERMS OF REFERENCE
Office Admin:
• Support the day-to-day management of the Raagsan Hargeisa office, including maintaining the equipment
and stationary inventory and coordinating cleaning, maintenance and other office needs.
• Provide and update administrative needs for the Hargeisa office, including office registrations,
documentation, asset management and record-keeping.
• Maintain petty cash records and support the procurement of office equipment and supplies, in
coordination with the Finance and Operations teams.
Project Admin:
• Familiarize and adhere to Raagsan’s project management procedures, manuals, and SoPs
• Provide administrative support to projects implemented in Somaliland, including field-team recruitment,
contracting, training and payment processes.
• Support project budget planning, expenditure tracking and the preparation of supporting financial
documents.
• Assist with preparing, reviewing and coordinating agreements with clients, subcontractors and partners
under the supervision of the relevant Project Lead.
• Coordinate project travel arrangements within Somaliland, including transportation, accommodation and
other logistical requirements as per Raagsan’s travel policy
• Support the planning and coordination of workshops, conferences, training sessions and other projectrelated events in Somaliland.
• Attend relevant humanitarian, research and project-related workshops or conferences and represent
Raagsan when requested.
• Support calendar management, including scheduling meetings and appointments and sharing timely
reminders.
• Assist with client coordination by following up on requests, scheduling meetings and maintaining clear and
professional communication.
• Manage routine project communications, email correspondence, filing and documentation, with guidance
from the relevant Project Lead.
• Maintain organised and up-to-date project records, including contracts, project timesheets, certificate of
completions, payment documents and activity files.
• Provide remote administrative support to projects implemented in Somalia when required.
• Properly categorize project expenses and transactions under the correct accounts and projects in
QuickBooks.
Project Finance:
• Familiarize and adhere to Raagsan’s financial compliance procedures, manuals and SOPs.
• Update and maintain financial records and reconcile expenditures, balances, statements and other data for
day-to-day transactions related to the projects assigned.
• Develop the project budget with the project team and organize meetings to present, refine, update and
approve the project budgets.
• Track project expenditures and monitor the expenditure using company provided tools and ensure in
compliance with project budget plans and Raagsan’s SOPs and guidelines.
• Process all payment requests in DocuSign with input from project coordinators, and utilize QuickBooks
for documentations
• Produce monthly reports on the financial status of projects and prepare the project closures.
Skills and qualifications
Graduate Diploma or Graduate Degree in Economics, Finance, Business Administration, or a related field.
Relevant work experience of up to one year is preferred.
• Excellent communication skills, including the ability to write and communicate in English and Somali.
• Proficiency with the MS Office and ability to use MS Outlook, Excel, Word and PPT effectively.
• Proficiency with digital financial systems i.e. quick books and familiarity with other project management
systems and ERP Systems.
• Able to write letters, emails, memos and other communication materials in both professional English and
Somali language.
• Self-driven, able to work independently with minimal supervision.
• Proven track record of working in Somaliland or similar contexts is an added value.
• Demonstrated ability to work with remote teams and thrive in a diverse environment.
• Exceptional organizational skills with a capacity to handle multiple deadlines and high-stress situations.
• Ability to multi-task and manage competing priorities.
• Flexibility to work extended hours as needed to meet project deadlines.
• Based in Hargeisa office with daily reporting to the office.
• Willing to travel and spend extended time in the field.
Working Conditions
• Some long hours including evening and weekends to complete tasks or attend events.
• The flexibility to work additional/out of office hours as necessary to fulfil the requirements of the role and
meet the business needs is key.
• The position may involve working in locations that are remote and lack basic modern infrastructure.
