I. Background
SUHAD (Scaling up Humanitarian Assistance & Development) is a dynamic Somali non-governmental organization established in 2017 by a group of passionate local professionals committed to elevating the living conditions in Somalia. Operating as a non-political, non-profit, and non-governmental entity, SUHAD is dedicated to addressing the multifaceted challenges faced by communities, especially in the Southern states of Somalia. With a strong focus on sustainable livelihood programs encompassing food security, agriculture, health, education, and climate change mitigation, SUHAD employs participatory methodologies to ensure inclusive and impactful interventions. II. Objective
The Financial Assistant is responsible for helping the finance manager in the duties of compiling reports, monitoring transactions and statistical data and ensuring that the financial needs of the field offices are met in a timely and effective manner.
III. Key Responsibilities
• Responsibility for assisting accounts and managing finance including; supervising and exercising budgetary control on organizational finance, maintaining petty cash book and vouchers, reconciling payment records with activities and preparing new disbursement to CEO
• Preparation of payment vouchers and receipts, payroll, time sheets, travel vouchers, cost-tracking and bank reconciliation.
• Assisting in preparing the financial and quality report on a quarterly basis of every project with the guidance of project budget.
• Recording transactions, posting and preparation of financial statements, budget preparation, preparing monthly budget monitoring reports, reconciling reports
• Initiating preparatory work for contracts, tendering, bill of quantities and works, according to donor procedures, rules and regulations.
• Helping to ensure that procurement for office equipment and supplies are adhered to.
• Ensuring that relevant information and records are readily made available to the program staff.
• Assisting the finance manager in looking after the office operations and ensuring proper maintenance of the office equipment and availability of office supplies.
• Assisting in the monitoring of project’s procurement (logistic), follow up, and complete all formalities, clearance, custom clearance and delivery to destination.
• Assisting the finance manager of coordination of travel arrangements and preparation of purchase orders for travel and other administrative expenses.
• Keeping up to date and ensure that all equipment are labeled and well maintained.
• Assisting in compiling statistical data; following up and responding to queries.
• Taking minutes, communication management, coordination, management and control of office vehicle, report preparation on re-use able assets on a monthly basis, staff orientation and training.
• Assisting the finance manager in any way that is deemed necessary.
Skills and qualifications
• Bachelor's degree in finance, accounting, or a related field (or equivalent experience).
• Minimum 2-3 years of relevant work experience, at least 2 of which involve the similar experience of a finance assistant for NGOs projects.
• Familiarity with financial software and tools.
• Basic understanding of accounting principles and financial processes.
• Proficient in Microsoft Excel and other relevant software applications.
• Strong attention to detail and accuracy in data entry and record-keeping.
• Excellent organizational and time management skills.
• Effective communication and interpersonal skills.
• Ability to work collaboratively within a team
