Logistics Assistant

Purpose of the post: 

•  Assist in managing the security guard duty roster and ensure that visitor record is maintained
• Under the supervision of the Base Logistician, the Logistic Assistant will be responsible for the following main activities:
• Ensure that policies and procedures for all logistical functions are strictly followed at the base level.
• Ensure the principles for efficient fleet management systems are observed.
• Ensure the safety and security of Arzte Der Welt staff and assets are in place
• Carrying out all repair and maintenance activities in the base (vehicles, fuel consumption, and local infrastructure)
• Work closely with program and administrative departments and provide logistics support to the field sites
• Provide support in maintaining and managing the stocks at the base level.

 Tasks and responsibilities:

  Vehicle Management:-

• Support and manage all Arzte Der Welt own and rental vehicles according to the Arzte Der Welt required standards
• Ensure the internal controls for the fleet are in place while minimizing risks associated with accuracy, transparency, and overall costs
• Ensure appropriate tracking, maintenance, and reporting and make sure that the vehicles are operational all the time
• Provide support in managing fuel stock 
• Ensure effective drivers management that includes daily roster, daily and weekly vehicle checks training and orientation, communication and coordination, vehicle safety and security
• Ensure that all vehicles are equipped with basic tools, first aid kits, fire extinguishers, spare parts, registration books, and log books are maintained.

Base Management:

• Manage consumption of office material, fuel, and lubricants used in the different facilities (office, house, store, etc.) and checks the conformity of security norms in Arzte Der Welt premises
• Provide support in managing communication equipment (landlines, mobiles, sat phones), IT equipment, and internet devices.
• Checks cleanliness of different open spaces (gardens, courtyards, etc.) and follows up on minor building rehabilitation work
• Ensures the maintenance of all Arzte Der Welt premises (office, houses, stores, etc.) and checks on the general state of facilities (walls, roofs, electrical installations, water supply, and quality)
• Provide support in clearing domestic waste in the different facilities and make sure that waste treatment installations are properly maintained

Security Management:

• Support the Base logistician in ensuring security and risk management related to Arzte Der Welt staff, equipment/vehicles, premises, and staff moments/travel.
• Analyze security situation in the area and share the updates with all staff on a regular basis
• Ensure that safety and security equipment are available as per the required standard

Expected profile:

• Diploma or Bachelor’s degree in relevant field (required)
• Relevant training in logistics, fleet, security, and operations
• 3 years experience working with INGOs
• Good working knowledge of the English language is essential, Amharic and Somali Languages are desirable
• Strong organizational skills in emergency situations and autonomy in daily operations
• Good communication and reporting skills
• Good working knowledge of Microsoft Word, Excel, and PowerPoint
• Experience/knowledge of the Somali region is a plus
