Job description
The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified person to fill the position of Logistics Assistant, based in Jijiga.
ACCOUNTABILITIES AND RESPONSIBILITIES
Provides support in the sub-delegation as per the logistics standards, ICRC rules, financial procedures and regulations. This include the following activities:
Administration
- Monitors all internal, external demands and distributes activities in support of managerial staff of JIJ LOG team;
- Monitors the evolution status of action plans and documentation in support of LOG managerial team and HoSD.
- Analyze and report JIJ LOG budget status (costs and expenditure) on regular basis (weekly, monthly, yearly);
- Manage and follow-up JDE/IRIS applications and generate statistical reports (weekly, monthly, yearly);
- Timely and proper filing and archiving of documents while special attention to confidential ones (if/when required);
- Ensures that back up of electronic files are done on regular basis;
- Performs logistics data collection, analysis and reporting in collaboration with logistics leaders (Logistician,
- LSM, LCM) and HoSD whenever needed (systems, meeting minutes and other documents H/S);
- Support ADD Pharmacist and JIJ Storekeeper on import-export and storage processes of medical;
- Will cover any requested general logistics activities, replacing logistics management staff in case of absences.
Supply Chain
- Carry out order fulfilment activities in accordance with service level agreements, ensures that all customers’ needs
- are understood, met, delivered and well communicated;
- Is the link between requesters and Logistics in Sub-Delegation, meets with internal customers for demand planning;
- Ensures accurate follow up, treatment and validation of Supply Request (SR) according to established criteria;
- Ensures feedback to the requester concerning status their orders, keeping files updated and closed;
- Analyze, identify and report delayed orders and root causes of the gaps;
- Monitors and follows up on claims and claims procedures;
- Anticipates the needs together with the logistician and consult guides assistance.
Purchasing
- Carry out domestic purchases and submit to proper approvers according PO matrix;
- Meetings with internal and external customers for assigned general logistics activities;
- Coordinate transport operations in support to the LOG team and other ICRC members involved (distributions);
- Ensures that purchasing is carried out in accordance with ICRC standards, is auditable and fully transparent;
- Liaises with Finance & Administration team on handle any issue of LOG activities or its customers;
- Evaluates and registers suppliers in collaboration with Logistician;
- Upload all purchasing files in Profiles according to ICRC procedures;
- Check and validate purchasing file compliance item prior to submit for approval;
- Update and follow-up statistical reports using Tableau and other applications.
ADDITIONAL DUTIES
- Follows up on all work-related messages and correspondence with the relevant contacts and departments;
- Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant
- to the position;
- Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity
- that may reflect negatively on the ICRC’s image
- Takes responsibility for their own professional learning and development
- As the connectivity in sub-delegation may be low or inexistent, the Logistics Assistant should be able to execute
- his work with excel files and hard copies.
Skills and qualifications
Certifications / Education required
- University degree or Technical degree with equivalent experience in logistics, administration.
- Good command of spoken and written English and the local working language.
- Computer literacy; good knowledge of Microsoft Office.
- Knowledge of enterprise resource planning software is an asset.
Professional Experience required
- Typically, three to five years’ overall professional experience.
- Three years’ previous experience in logistics department
- Good understanding of order management, purchasing, warehousing, general logistics processes
- Detailed knowledge of the local area
