SOS Children’s Villages invite applications from suitably qualified and interested candidates who fulfill the eligibility criterion for the below position.
Position title : Finance Assistant
Reporting to : Finance Officer
Location : Baidoa
Job summary:
The Finance Assistant is responsible for fulfilling the financial requirements of SOS Children Villages Somalia. In particular, s/he ensures that all SOS financial procedures and requirements are implemented and adhered. In addition, s/he ensures that SOS Procurement procedures and policies are also adhered.
Responsibilities:
1. Performs detailed accounting tasks of the project
· Prepares payment vouchers, cheque and petty cash payments.
· Ensures that all invoices are paid promptly and properly supported to protect the reputation of SOS Children’s Villages.
· Prepares monthly Bank Registers, Submits registers, together with all supporting receipts and vouchers to the finance Officer
· Manages all Dahabshil cash accounts and ensures balances are always reconciled with the cashbooks.
· Checks all payment documents for completeness.
· Checking and reconciling petty cash balances on daily basis ensuring all invoices have been paid
· Scanning Financial transactions both petty cash and Cheques payment and saving each one in separate folder monthly
· Prepares and monitors expenditures, ensuring the facility is run as economically as possible, in accordance with the provisions of the annual budget. Reports any irregularities to Finance Officer.
· Maintains filing system for finance department
· Ensures and support that all necessary documentation is in place to facilitate the end of year financial audit, and ensures all financial records are properly filled and safely stored.
· Prepare monthly petty cash & cheque books and post to NAV with reconciling cash at hand through cash counting.
· Ensuring that all cash, cheque books and financial records are properly stored and safely always secured.
· Prepares a variance report every quarter on expenditure and income and take corrective measures
2. Donor reporting
· Ensures that all donor financial management and reporting are implemented accordingly
· Prepares and submits the donor reports to the Finance manager for all project locations depending on varying donor needs promptly according to timelines.
3. Performs general administrative tasks
- Updates the inventory and fixed asset register of the offices as assets are acquired.
- Conducts annual inventory control audits.
- As a member of the location procurement committee, provide technical advice to the committee with regard to all procurement.
- Ensure the efficient use of office telephones by implementing appropriate registers &/or control measures. Ensures all private calls are charged to the individual concerned.
- Assists with the establishment of proper store-keeping records and procedures. Conducts regular checks of all stores (e.g. drug stores, stationary stores, etc.) to ensure stock-cards are accurate and all proper procedures are being followed.
- Assists projects with routine queries
- Supports the National Office Finance Department in any way possible with financial issues
4 Data Protection
· At all times ensures that personal data of donors, sponsors, SOS CV beneficiaries and their families as well as SOS co-workers is handled confidentially and in accordance with prevailing SOS-Kinderdorf International data protection laws.
Skills and qualifications
Job competencies:
Essential
· Degree in Business Administration: majoring in Accounting and Finance and a minor in Management
· Please note that all applicants should possess computer/word processing skills and should be capable of working with children and people of diverse backgrounds.
· At least 2 years of progressively experience is required.
· Knowledge of accounting software is required
