I. Purpose of the position
The Head of Administration and Finance is primarily responsible for the management and oversight of the administrative (including HR) and financial functions within the University. This position requires a dynamic and detail-oriented leader with expertise in financial management, budgeting, human resources, and administrative operations. The Head of Administration and Finance will work closely with senior leadership of the institution to ensure the efficient and effective operation of the university.
II. Key responsibilities
FINANCE
▪ Manage and maintain the day-to-day finance activities of the university; This will require maintaining and recording for all financial transactions.
▪ Ensure proper financial procedures and systems are operated and maintained.
▪ Monitoring and accounting for the revenues and expenses required in the normal operation of the University
▪ Prepare financial reports, statements, and forecasts for presentation to senior management and governance bodies.
▪ Reconcile weekly, monthly and yearly financial transactions
▪ Prepare budgets, amendments, and forecasts in collaboration with relevant stakeholders.
▪ Make sure that all financial transactions are supported with relevant documents and all expenditures are properly recorded in timely bases.
▪ Coordinate with the department heads for monthly payroll processing.
ADMINISTRATION (including HR)
▪ Manage day-to-day administrative operations of the university, including facilities management, procurement, and logistics.
▪ Develop and implement administrative policies and procedures to streamline processes and improve efficiency.
▪ Supervise administrative staff and provide training, guidance, and support as needed.
▪ Coordinate with other departments to ensure the smooth functioning of university operations.
▪ Coordinate the administrative aspects of staff recruitment and induction.
▪ Maintain staff files and records; advise on discipline, welfare and other human resource issues.
▪ Monitor and follow up individual performance agreements; ensuring the performance planning, evaluation and appraisal meeting are planned, communicated and completed on time
Skills and qualifications
III. Skills and Qualification
▪ Bachelor's degree in Finance, Accounting, Business Administration, or related field; advanced degree (MBA, MPA, or equivalent) would be an advantage.
▪ Minimum of 3 years of experience in financial management, administration, or related field, preferably in a higher education setting.
▪ Strong knowledge of financial principles, budgeting processes, and accounting standards.
▪ Experience in human resources management, including recruitment, compensation, and employee relations.
▪ Excellent organizational, analytical, and problem-solving skills.
▪ Knowledge of automated financial accounting system.
