Job description

Position: IT & HR Support Officer
Department: HR & Administration
Reports To: Head of HR & Administration
Location: Dahabshiil Motors Ltd. – Hargeisa, Somaliland
Employment Type: Full-Time
Job Purpose
The IT Officer is responsible for ensuring the efficient operation, security, and
maintenance of the company's IT infrastructure, systems, networks, hardware, software,
and communication technologies. The role also provides technical support to all
departments, with a particular focus on supporting the HR & Administration Department
in managing HR systems, ERP applications, user access, digital records, and technologydriven business processes.
Key Responsibilities
1. IT Infrastructure Management
• Install, configure, maintain, and troubleshoot computer hardware, software, printers,
scanners, and other IT equipment.
• Monitor and maintain LAN, WAN, Wi-Fi, internet connectivity, and network security.
• Ensure servers, storage devices, and network equipment are operating efficiently.
• Perform preventive maintenance on all IT equipment.
• Maintain an updated inventory of all IT assets.
2. User Support & Help Desk
• Provide first-level technical support to all employees.
• Resolve hardware, software, email, and network issues promptly.
• Install and configure operating systems and business applications.
• Manage user accounts, passwords, and access permissions.
• Deliver IT orientation and basic user training for new employees.
3. Information Security
• Implement IT security policies and best practices.
• Install and maintain antivirus and endpoint protection.
• Conduct regular data backups and recovery testing.
• Monitor cybersecurity threats and recommend mitigation measures.
• Ensure compliance with company information security policies.
4. Systems Administration
• Monitor system performance and ensure maximum uptime.
• Perform software updates, patches, and upgrades.
• Maintain email systems, shared drives, and cloud services.
• Document IT procedures and technical configurations.
5. Vendor & Asset Management
• Coordinate with IT suppliers and service providers.
• Obtain quotations for IT equipment and software.
• Monitor software licensing compliance.
• Manage warranty records and maintenance contracts.
HR & Administration Support Responsibilities
The IT Officer will actively support the HR & Administration Department by:
ERP & HRIS System Support
• Configure and maintain employee accounts in the HRIS/ERP system.
• Support recruitment activities by setting up interview equipment and online meeting
platforms.
• Assist with onboarding by preparing laptops, email accounts, user credentials, and system
access.
• Support attendance devices and biometric systems.
• Generate HR reports from the ERP system.
• Assist in payroll system configuration and troubleshooting.
• Maintain confidentiality of employee information.
• Support digital document management and employee file archiving.
Administration Support
• Maintain office communication systems, including telephones, internet, Wi-Fi, and
meeting room technology.
• Set up audio-visual equipment for meetings, presentations, and training sessions.
• Provide technical support for company events and workshops.
• Maintain CCTV, access control systems, and office security technologies.
• Support procurement by providing technical specifications for IT purchases.
• Coordinate IT requirements during office relocations or expansion projects.
Compliance & Data Protection
• Protect company data and confidential information.
• Ensure compliance with IT governance, cybersecurity, and company policies.
• Report IT risks and security incidents immediately.
• Promote safe and responsible use of technology throughout the organization.

Skills and qualifications

Qualifications
Education
• Bachelor’s degree in information technology, Computer Science, Information
Systems, or a related field.
Experience
• Minimum of 5 years' experience in IT support, systems administration, or network
administration.
• Experience supporting ERP systems (preferably Odoo) is highly desirable.
• Experience supporting HR systems is an advantage.
Technical Skills
• Windows Server and Windows Desktop Administration.
• Microsoft 365 Administration.
• Networking (TCP/IP, DNS, DHCP, VPN).
• Active Directory and user management.
• Odoo ERP or other ERP platforms.
• Database fundamentals.
• Cybersecurity and backup solutions.
• CCTV and access control systems.
• Printer and peripheral management.

• Strong analytical and problem-solving skills.
• Excellent communication and interpersonal abilities.

Languages
• Fluent in English (written and spoken).
• Somali language is required.
• Arabic is an added advantage.
