Position: Parts Manager
Direct Reports: Head of Operation as defined based on structure
Job Purpose.
The Spare Parts Manager is responsible for leading and managing the spare parts Section to
ensure availability, efficient stock control, profitability, supplier management, and excellent
service to internal and external customers. The role ensures that the right parts are
available at the right time while minimizing excess inventory and supporting workshop and
sales operations.
Key Responsibilities
Strategic Responsibilities
• Develop and implement spare parts business strategies to improve sales,
availability, and profitability.
• Establish annual department goals, budgets, and performance targets.
• Monitor market demand, customer needs, and industry trends to optimize inventory
planning.
• Develop pricing strategies for spare parts to maximize profitability while remaining
competitive.
• Ensure the spare parts department supports workshop, service, and sales
operations effectively.
Operational Responsibilities
• Oversee daily operations of the spare parts department.
• Ensure adequate stock levels of fast-moving and critical spare parts.
• Manage inventory control processes, including stock ordering, receiving, storage,
and distribution.
• Monitor stock turnover and identify obsolete, slow-moving, or excess inventory.
• Ensure timely replenishment of stock from suppliers and manufacturers.
• Implement inventory management systems and best practices.
• Coordinate with service and workshop teams to forecast parts demand.
• Ensure accurate stock records and regular stock audits.
• Supervise warehouse organization, cleanliness, and safety.
• Ensure all parts are properly labeled, stored, and handled.
Customer Service Responsibilities
• Ensure high levels of customer satisfaction through prompt and accurate service.
• Address customer complaints related to parts availability, pricing, or delays.
• Support retail, wholesale, and workshop customers with parts requirements.
• Develop initiatives to increase spare parts sales and customer loyalty.
Team Management Responsibilities
• Lead, supervise, and motivate the spare parts team.
• Set performance targets and conduct regular performance reviews.
• Identify training and development needs for staff.
• Ensure compliance with company policies, procedures, and safety standards.
• Promote teamwork and effective communication within the department.
Key Performance Indicators (KPIs)
• Spare parts sales growth.
• Gross profit margin on spare parts.
• Inventory turnover ratio.
• Stock availability rate.
• Order fulfillment rate.
• Percentage of obsolete or slow-moving stock.
• Supplier delivery performance.
• Parts backorder rate.
• Customer satisfaction score.
• Stock variance and shrinkage rate.
• Average order processing time.

Skills and qualifications

Qualifications
• Bachelor’s degree in business administration, Supply Chain, Logistics, Automotive
Management, or related field.
• Professional certification in inventory, procurement, or supply chain management is
an advantage.
Experience
• Minimum 5–8 years of experience in spare parts, inventory, warehouse, or
aftersales operations.
• At least 3 years in a managerial or leadership role.
• Experience in automotive, heavy equipment, or machinery industry preferred.
Skills & Competencies
• Strong knowledge of spare parts operations and inventory management.
• Strong strategic leadership, team and performance management skills.
• Excellent negotiation and supplier management skills.
• Good financial and analytical skills.
• Proficiency in ERP systems and inventory management software.
• Strong communication and customer service skills.
• Ability to analyze stock trends and demand forecasting.
• Strong problem-solving and decision-making skills.
• Good organizational and planning abilities.
• Attention to detail and accuracy.
Working Conditions
• Office and warehouse environment.
• May require occasional travel to supplier sites, branches, or warehouses.
• May require extended hours during stock counts, audits, or urgent operational
demands.
Language Requirements
• English: Mandatory (Fluent Written and Spoken)
• Somali: Added advantage
