POLISH HUMANITARIAN ACTION IS LOOKING FOR PROJECT COORDINATOR General information:

  • Organization: Polish Humanitarian Action (PAH).

About PAH

Polish Humanitarian Action (PAH) is non-governmental organization consisting of people who want to make the world a better place. For over 20 years, we have been providing relief in big and small emergencies worldwide alongside with running long-term missions in several countries in crisis. Our interventions – of both humanitarian and development character – have been carried out in more than 40 countries so far. We concentrate on ensuring sustainable and stable development of regions suffering the consequences of war and/or natural disasters. We possess long-standing expertise in Water, Sanitation and Hygiene (WASH), but also implement projects in Food Security and Livelihoods (FSL), as well as Nutrition and Education. PAH Mission in Somalia:

  • PAH has been present in Somalia since 2011. With WASH, Nutrition and Livelihood programs, PAH supported people from the most vulnerable communities in different regions across the Country. Our primary focus was to provide safe drinking water through drilling new and rehabilitating existing boreholes, constructing water distribution systems and water reservoirs.
  • In our work we also focus on other WASH components that are improvement of sanitary conditions and raising awareness on hygiene and sanitation – to make our WASH interventions comprehensive. We are implementing ECHO, ARCHE NOVA, UNICEF and Meblik projects targeting the most vulnerable communities in Banaadir, Middle Shabelle, Lower shabelle, and Galmudug.

Who PAH is looking for:

PAH in Somalia is looking for Project Coordinator who will become part of the Team with the following responsibilities:

Project implementation

  • Responsibility for the smooth running of assigned project activities according to the description in the project proposal and to PAH procedures and policies under minimum supervision
  • Ensures the implementation of the projects assigned in a timely manner and in line with indicators from the project proposal.
  • Prepares weekly and monthly work-plan for the project team he/she is responsible.
  • Monitors quality of the interventions and submit feedback to Project Manager
  • Ensures feedback collected from the field and lessons learnt are shared within the organization.
  • Ensures accurate and timely reporting of the progress of the activities according to PAH donor and other applicable timeframes and formats.
  • Ensures that all activities are being implemented according to the signed contracts and MoUs.
  • Ensures proper documentation for all activities is provided timely.
  • Conducts assessments and plans responses together with other team members.
  • Monitors situation in the targeted areas for significant changes, emergency situations and shares information with the Project Manager.
  • Coordinates carrying out Knowledge Attitude Practice (KAP) surveys, baseline studies and other

needs assessments in the target areas to design appropriate hygiene and sanitation awareness promotion strategies and materials.

  • Participates in new project development upon request by Project Manager

Finances

  • Timely prepares and submits of work plans, activity budgets and required reports.
  • Assures that the implementation of project activities is in line with the project budget.
  • Ensures that complete project documentation and financial documents are delivered to the Country Office timely and in line with PAH procedures.
  • Participates in the selection of implementing contractors and subcontractors for PAH activities in line with PAH purchase and procurement procedures.
  • Ensures the operational efficiency and effectiveness of all project accounting procedures.

Staff management

  • Ensures a smooth and efficient line of communication between senior mission management and field staff.
  • Supervises and coordinates on daily basis activities implemented by WASH officers, contractors, and distribution teams.
  • Oversees and coordinates the work of WASH Officers.
  • Coordinates subordinate staff leave plans.
  • Identifies capacity building needs of subordinate staff.
  • Conduct staff performance appraisal and implement performance improvement plans.
  • Participates in weekly and monthly staff planning meetings.
  • Regularly inform the Project Manager verbally and with written reports on the state and progress of the Project activities; problems and/or solutions identified.

Representation and communication

  • At field level, establishes and maintains contacts with other actors involved in the implementation process (e.g., beneficiaries, community leaders, local and national government officials, UN agencies and other NGOs) and reports to the Project Manager and Program coordinator any information, communications, request, originating from them.
  • Attends and actively represent PAH in all relevant meetings in the project area and subsequently prepare minutes of meetings and share it with the project Manager.
  • Participates in networking and coordination of activities with other stakeholders and partners.
  • Support clear internal project communications capability.
  • Informs and co-ordinate project activities with the other agencies and actors that carrying out similar activities.
  • Writes the necessary weekly reports on the development of the project implementation and shares it with stakeholders (donors, government, etc.) when required.
  • Collects visibility materials from the field.
  • Any other duty assigned by your immediate supervisor/project Manager.

 

Skills and qualifications

  • Bachelor’s degree in project management, Development studies, public health, and/or another relevant field from a recognized institution.
  • The candidate should have at least 4 years of experience in emergency humanitarian field.
  • The candidate should have at least 2 years of experience preferably the same capacity and field.
  • Experience in reporting, internal and external to donors and key partners.
  • Strong analytic problem-solving skills
  • Knowledge in WASH and community approach and Knowledge of FSL
  • Strong communication skills and advanced in English language both written and Oral.
  • Ability to multi-task and meet deadlines.
  • Good knowledge of humanitarian standard and background (ex. Sphere standard)
