SOS Children’s Villages Somalia has officially been working in Somalia since 1985. SOS is currently working in 134 countries worldwide. SOS Children’s Villages Somalia current works in three regions; Banadir Regions (Heliwa, Wadajir, Dharkenley and Dayninle districts) southwest-state (Baidoa, BurHakaba, Berdale,Qasaxdhere and Hudur) Hirshabelle State (Jowhar,Adale & Balcad)

Position title: Registrar (2 pst) (1 Hudur and 1 Diinsor)

Reporting to: Nutrition Supervisor

Location: Hudur and Diinsor -SWs -Somalia

Job summary:

The employee is expected to provide a high standard of promoting optimum medical records and retrieves existing medical records by gathering appropriate record folders and contents; assigning and recording new record numbers; verifying existing record numbers; inputting and recording locations to Books or computer; delivering records. The employee will also provide assistance to the Hospital Administrators and the other medical care team where appropriate, recognizing that the effective management of hospital depends on effective communication and participation of all members of the team.

Job Responsibilities:

Main duties and Responsibilities:

 

    The registrar will be responsible in registration of new beneficiaries into the particular nutrition program “OTP, TSFP and SC” based on the anthropometric measurement.

    H/She will properly collect and document all necessary personal information of the admitted beneficiaries in all nutrition programs.

    Verify the eligibility of beneficiaries to the specific program based on the program criteria and provided measurement information.

    Ensure the patient’s program identification cards are the correct once registered for that program by the same facility with the same beneficiary information.

    The registrar will maintain up-to-date and accurate records/data of all beneficiaries in both TSFP&OTP program.

      Input beneficiary information into electronic databases OGOW/PIMS and manual registers.

    Adhere the data confidentiality and security according to the organizational data protection and management regulations.

    H/she will maintain comprehensive records and reports on nutrition program beneficiary registration and services.

    Ensure on time and accurate submission of all required documentation and reports to the line supervisor.

    Provide information with beneficiaries regarding program procedures, admission criteria, schedules, requirements and what service available where.

    Ensure proper coordination with the field staff, volunteers and community health workers to ensure smooth registration and documentation processes.

      Provide support during distributions of nutrition supplements and other program activities.

    Flow up and monitor beneficiary attendance and defaulters in program activities and register participation records.

    Participate organizational data quality control audits to ensure the accuracy and reliability of statistics reports according to the registered data.

    Participate in health and nutrition education sessions to raise awareness about program services and nutrition practices.

    Undertake any other responsibilities/duties that you may be reasonably expected by your line supervisors.

Skills and qualifications

Job competencies:

Essential

       Certificate in Health records and Information technology or equivalent

       Computer literate

       At least 2 years’ experience

       Ability to retrieve file quickly

       Maintains confidentiality

       Attention to detail
